Title: Placement Partnerships Co-Ordinator

Reports to: Placement Strategy & Development Lead

Department: Academic Department

Purpose of this Role

The primary role of the Placement Partnerships Co-Ordinator is to support the growth and operational success of PCI College’s Placement Team. This role will assist the Placement Strategy & Development Lead (PSDL) in the implementation of practice placement partner sourcing, vetting and quality assurance strategies to ensure the provision of high-quality, suitable practice placement opportunities. The Placement Partnership Co-Ordinator ensures strong relationship maintenance and adherence to programme-specific requirements for practice placements, along with efficient administration and data management to promote placement partnership growth.

Key Responsibilities

Placement Co-Ordination

  • Liaise with external practice placement partners and the PCI College’s internal counselling service to manage practice placement opportunity availability.
  • Liaise with the Clinical Manager to ensure accurate data on student enrolments and practice placement demands.
  • Receive up-to-date information on student enrolments and practice placement needs from the Clinical Manager.
  • Identify current practice placement demands and assess current resources, identifying gaps in practice placement availability.
  • Establish, record, and monitor appropriate practice placement opportunities for prospective sign-off students.
  • Be the first point of contact for practice placement partner queries and escalate any concerns following internal procedures.
  • Maintain accurate and up-to-date practice placement partner records using Microsoft CRM.
  • Generate regular reports and analytics on practice placement partner activity, student allocation, and provider engagement.
  • Use CRM tools to track practice placement partner trends, identify gaps, and support strategic planning.

Practice Placement Partner Relationship Management

  • Monitor and maintain positive relationships with practice placement partners to ensure effective communication, issue resolution, and long-term partnership development.
  • Liaise with current practice placement partners to keep all relevant details up to date and accurate.
  • Facilitate regular communication opportunities to support and encourage a cohesive stakeholder feedback loop.
  • Liaise with practice placement partners regarding college and student feedback/complaints where it relates to practice placement governance and quality assurance.
  • Assist with annual audits to improve practice placement partner relationship management documentation.
  • Implement technological supports to gather increased data and improve communication with practice placement partners.
  • Input and manage data collection on CRM (Microsoft Dynamics & SharePoint).
  • Analyse data and create reports relevant to practice placement partner sourcing and managing requirements.

Placement Quality Assurance

  • Contribute and support the implementation of policies and procedures related to practice placement governance and quality assurance.
  • Liaise with the Clinical Manager in relation to newly identified practice placement partners, complete practice placement partner vetting, and onboarding in line with current PCI College policies and procedures.
  • Assist the PSDL with the review of all practice placement governance and quality assurance documentation to adhere to current and future regulatory, legal and accreditation requirements.
  • Work directly with practice placement partners to ensure compliance with CORU practice education standards.
  • Assist in the training of practice placement partners in assessment requirements for students in alignment with accrediting and regulatory bodies.
  • Provide administrative support for practice placement-related academic processes.
  • Document and manage the storage of all evidence of practice placement partner onboarding.

Placement Sourcing

  • Liaise and assist the PSDL with practice placement partner sourcing strategy and implement practice placement partner sourcing.
  • Carry out practice placement research and outreach to identify and secure practice placement partners and opportunities.
  • Maintain and update database of potential practice placement partner leads, ensuring accuracy and relevance, communicating timely updates to the PSDL.

General Duties

  • Be familiar with validation, accreditation, and governing body requirements for practice placements.
  • Ensure adherence to the practice placement requirements of all programmes.
  • Encourage a culture of continuous improvement within the team and among stakeholders.
  • Network and complete site visits nationwide.
  • Attend all relevant College meetings.
  • Attend PCI College events (Conference, Graduation, etc.) and represent PCI College at external events.
  • Maintain own continuous professional development.

Personal Specification

Essential competencies and education

The ideal candidate will be/have:

  • Level 8 qualification or above in counselling and psychotherapy.
  • Relationship management within the counselling and psychotherapy profession.
  • Be a good problem solver.
  • Excellent relationship building and partnership maintenance.
  • Strong attention to detail and editing skills.
  • A proven track record of data collection, maintenance, and analysis.
  • Confident with Microsoft 365 Suite.
  • Strong administrative skills i.e., competency with Microsoft Office Suite and other IT solutions.
  • Full, clean driver’s license with own car.
  • A good communicator.
  • Passionate, enthusiastic, and innovative.

Desirable competencies and education

  • Full accreditation with a Counselling/Psychotherapy Accreditation Body (IACP, IAHIP, ICP, BACP, etc.).
  • Proven experience of service co-ordination, ideally in an education or practice placement environment.
  • Experience/awareness of practice management.
  • Experience within Higher Education.
  • Familiar with the IACP’s and/or other accrediting bodies’ codes of ethics.
  • Familiar with CORU regulation.

Hours:

30-37.5-hour week, 9:00 am – 5:30 pm (hours may be discussed with candidate).

24-month fixed-term contract.

Salary is on a pro-rata basis.

PCI College, Corrig House, Clondalkin, Dublin 22 (Hybrid working available)

Job Types: Full-time, Part-time

Pay: €30,000.00-€37,500.00 per year
