Student Applications Administrator (1 Year Fixed Term Contract)

Hours: Monday to Friday 9 am – 5.30 pm (37.5 hours a week)

Location: PCI College, Corrig House, Clondalkin, Dublin 22

Purpose of this role

The Student Applications Administrator plays a vital role in supporting the Marketing and Student Recruitment Department at PCI College. This multifaceted position involves engaging with prospective students, responding to enquiries, handling phone calls, cultivating public relations and networking opportunities. In addition, this role supports all traditional marketing and sales initiatives within the department.

Key Responsibilities

Student Recruitment

Convert face-to-face, telephone, and online enquiries into enrolments and admissions, exceeding annual targets.
Help implementing regular outgoing direct mail campaigns for short course recruitment.
Assist in growing Tailor-Made Training contracts and sales through networking and implementing marketing and sales tactics.
Apply creative problem-solving and analytic skills to provide insight into student recruitment.
Applications & Enquiries Administration

Manage the PCI College application/booking process in collaboration with the Student Services Department.
Ensure good Customer Service throughout the application process, addressing and resolving applicant issues.
Ensure accurate recording of all enquiries data in accordance with procedures, adhering to Data Protection standards.
Produce clear reports on enquiry and enrolment trends, topics, and demographics to inform the Marketing & Sales plan.
Assist with Sales Report, Market Research projects and statistical analysis for Marketing Plan and Sales Strategy development.
Cover Reception Duties when required for annual leave or emergencies.
Communication and Networking

Maintain up-to-date directories, email templates, and forms with clear messaging.
Represent PCI College at functions, including open evenings, expos, public meetings, and similar events.
Develop links with local community and support groups to expand the network.
Collaborate and build strong relationships with internal and external stakeholders.
Organisation and Time Management

Adhere to brand guidelines and values, ensuring consistent customer messaging.
Manage own time efficiently to meet deadlines and prioritise workload as directed.
Respond promptly to customer enquiries via phone and email, adhering to Manager guidance and PCI ethos. Quality assurance checks will be conducted periodically, with the expectation of achieving high scores for an exceptional customer approach.
Adhere to necessary procedures, including recording calls in the system and ensuring 100% accuracy in CRM data.

Experience & Qualifications

Essential

Undergraduate Degree in Business discipline, or relevant.
1 year experience in Customer Service and/or Sales.
Exceptional IT skills, including Microsoft Office 365 package or similar.
Excellent use of initiative along with strong time management.
Excellent interpersonal skills, confidence and professionalism with a friendly and approachable manner.
Exceptional capacity for critical thinking and attention to detail, which must be demonstrable through the application and interview process.
Strong work ethic, with the ability to work well both independently and with an ability to prioritise workload to meet constant deadlines and targets.
Applicants must be fluent in spoken and written English.
Desirable

Experience of Microsoft Dynamics CRM
Traditional marketing/sales experiences a bonus
Full Drivers License
Knowledge of the fields of Higher Education and Counselling & Psychotherapy
